Privacy notice

This notice explains how WareHire handles your personal information when you browse jobs, request a callback, apply, use support chat or use a candidate account when available.
Who is responsible for your information?
WareHire is operated by Somanath Chowdary Kethineni, who is the controller of information processed to operate this platform. Correspondence address: Józefa Mianowskiego 18/2, Ochota, 02-044 Warsaw, Poland.

Information we process
- Applications and callbacks: the contact and application details you submit, the selected job, recruitment stage, communications and recruiter feedback.
- Candidate accounts, when enabled: your name, email, securely hashed password, verification status, session and recovery tokens, privacy-notice acknowledgement and linked applications. Earlier guest applications are not automatically linked by email.
- Support chat: messages and conversation identifiers used to answer questions and allow authorised recruitment staff to respond. Please do not send passport numbers, medical information or sensitive documents in chat.
- Technical information: request information needed to deliver and protect the service, including IP addresses in infrastructure logs. Our traffic counters record event, job, broad referral-source category and device category; the counters do not use visitor IDs or send full referrer URLs or query strings.
This account release does not provide CV, passport, immigration-document or bank-detail uploads, or payroll processing. A document-request entry describes a request; it is not a document upload. Additional processing requires information about its specific purpose and legal basis before collection.
Why we use it and the legal bases
- To provide the job-application, callback and candidate-account service you request: Article 6(1)(b) GDPR, performance of that service and steps requested before entering into it.
- To respond to enquiries, secure the platform, prevent misuse and measure service usage with limited traffic counters: Article 6(1)(f) GDPR, our legitimate interests in running a useful, secure recruitment platform. You may object to processing based on legitimate interests.
- To fulfil an applicable legal obligation, including handling data-protection requests: Article 6(1)(c) GDPR, where that obligation applies.
Reading or acknowledging this notice is not consent to marketing or unrelated recruitment. Future-job marketing or a separate talent pool requires its own appropriate basis and, where consent is used, a separate optional choice.
Who can receive your information?
Your candidate information is shared only with the agency or employer responsible for the specific job you apply for. Current partners include Hibo and Arttime; other partners may be added for future jobs. A new partner does not automatically receive your existing applications. Check the relevant job listing for the agency or employer and contact us if its identity is unclear before applying.
Authorised WareHire staff can access information needed for their role; the platform operator can administer applications. Agencies and employers may act as separate controllers for their own recruitment and employment processing and must provide their own privacy information. WareHire does not decide their independent retention or employment obligations.
Service providers also process information needed for their services: Railway for hosting, Cloudflare for domain and network services, and Resend for transactional email when configured. Privacy correspondence sent to the Gmail contact is handled using Google's email service. Data may also be disclosed when a valid legal requirement applies.
Hosting and international processing
WareHire's application services are configured in Railway's European region; transactional sending is configured in Resend's Ireland region. Regional configuration does not mean every provider's support, logs, backups or subcontractors operate only inside the EEA. Provider processing may involve locations outside the EEA. Contact us for the applicable provider arrangements and transfer safeguards for your information.
How long is information kept?
We use purpose-based retention: applications and recruitment communications are needed while the relevant recruitment is active; account information is needed while providing your account; support conversations are needed while resolving the enquiry; technical records are needed for service security and troubleshooting. Once those purposes end, records should be deleted or anonymised unless an applicable legal obligation or a specific, documented legal claim requires retention. We do not retain applications for unrelated future recruitment merely because you applied once.
You can request account closure or erasure using the contact above. An account-closure request also requires a review of associated applications and communications. Your agency or employer may separately retain information under its own legal obligations. Ask us for the retention assessment applicable to a particular record.
Your rights
Depending on the processing and applicable conditions, you can request access, correction, erasure, restriction, portability and object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting processing that was lawful before withdrawal.
Email the privacy contact to exercise your rights. We may need proportionate verification of your identity; please do not attach a passport by default. We normally respond within one month, and will explain any permitted extension. You may complain to the President of the Polish Personal Data Protection Office (UODO) through uodo.gov.pl, or to another competent supervisory authority.
Required details, cookies and decisions
Browsing jobs does not require an account. Contact details needed to respond are required for an application or callback; account email and password are required for account access. Optional information is voluntary. If required details are not supplied, we may be unable to provide the requested service.
Candidate account cookies, when enabled, keep you signed in. Support chat uses browser storage to resume the conversation. These serve the functions you request. This notice does not grant permission for advertising or other optional tracking.
The WareHire job assistant answers questions from job information. It does not make automated hiring or rejection decisions. Recruitment decisions are made by people.
Changes and contact
